B-ORG & HERMES at Intercompany – “accuracy of all reports and statements”

Intercompany Satu Mare deals with the pre-sales distribution of food, soft drinks and alcoholic beverages: beer from Heineken Romania, Astese alcoholic drinks, QAB (Pepsi) soft drinks, Tchibo coffee, food: Tymbark, Alka, Elgeka, Kandia-Excelent, Romdil, Bega Pam.

The company covers the north west area of the country, namely the counties: Satu Mare, Maramures, Cluj si Bihor with the headquarters in Satu Mare and subsidiaries in Baia Mare, Sighet, Cluj-Napoca and Oradea. The distribution fleet consists of 36 agents grouped into 3 types of divisions: the division of alcoholic beverages, the soft drinks division and the food division

B-ORG ERP & HERMES Evolution implementation objectives

Implementing B-ORG & HERMES Evolution at Intercompany mainly aimed at using an integrated IT system at its full capacity by using its on line mode functionalities so as to be able to provide consistent, on time and complete information about the activity of the whole company. The client wanted a stable application that had been validated by the market and that would be easily assimilated by the staff. Another important request was to automate the activity of their field agents by means of mobile devices.

Another problem that Intercompany faced referred to picking-up orders from customers, an activity achieved by field agents by collecting information from order forms on paper. Orders were later transcribed by Headquarters staff in charge of operation and billing, during night shifts.

There was also the urgent need to improve the management of packaging and the need for comprehensive reports in real time, such as the special reports requested by suppliers.

The challenge

Before implementing the integrated solution B-ORG & HERMES Evolution, Intercompany had faced difficulties when it came to the centralization and consequently the control of data from the five branches. Each branch used a separate database, different product catalogs and data had to be re-operated in accounting in order to be centralized. What made things even more difficult was that manual centralization was necessary for sales, inventory and customer reports.

The solution chosen by Intercompany was the integrated system B-ORG & HERMES Evolution, which covered both the management of the business and the automation of sales and billing.
